Invite a witness by the signer

In certain legal or highly sensitive agreements, a signer may be required to invite a witness to sign the document to ensure the authenticity of the signature. A witness provides an additional layer of security by confirming that the signer voluntarily signed the document in their presence.

To invite a witness by the signer:

  1. Once you have logged in to DocuSeal click on Upload to upload a docx/pdf document.
  2. After the file is uploaded, you can create a template with the required fields before sending it for signature.
  3. You can drag and drop fields from the panel on the right. In the example you can see a template with fields for the First Party. In order to add the fields for the Witness, click on Add Second Party. Template Builder Add Second Party
  4. We have added fields for both the Signer (First Party) and the Witness (Second Party). The template is ready to send to the recipients. Template Builder With Both Signing Parties
  5. Create the created Template (or an existing template) from the Template view. In our example we are choosing the Agreement Acknowledgement Template we just created. Click on Preference. Template With Witness Preferences Button
  6. In the pop-up window that appears click on the Recipients tab. Select the checkbox Invite by Signer. Template Preferences Invite By Signer Checkbox
  7. Now continue to send the document to the Signer by adding their email address. Template Builder Add First Party Email
  8. Signer’s POV. Once the signer clicks on the signature request, they will be able to fill their corresponding fields. Once that’s done the signer will be prompted to enter the email address of the Witness to invite them to sign the document. Signing Form Invite Witness
  9. Once the signer enters the Witness’s email address, a signature request email will be sent to the Witness. The Witness can then proceed to fill, sign and submit the document.
  10. If your DocuSeal Account’s Email Notification is ON, you will receive an email upon the completion of the document.
